How can I view, manage, and delete forms

IvyForms includes a centralized overview where you can view all created forms, manage their status, access entries, and remove forms you no longer need. This page gives you full control over your forms without opening the builder.

You can view all created forms by going to WordPress Dashboard → IvyForms → All Forms. This opens a table that lists every form on your site along with key details and quick actions.

What information is shown in the forms list?

Each row in the forms table represents a single form. By default, the following columns are visible:

  • Select checkbox – lets you select one or multiple forms for bulk actions. You can also select all forms using the checkbox in the table header.
  • Starred – marks a form as a favorite so it’s easier to find later.
  • ID – shows the unique form ID and can be used for sorting.
  • Form Name – displays the form name. Clicking it opens the form in the builder.
  • Published – indicates whether the form is visible on the front end. You can toggle this on or off using the slider.
  • Entries – shows the total number of entries submitted for the form. Clicking the number opens the entries list for that form.
  • Shortcode – provides the shortcode used to embed the form on your site.
  • Date Created – shows when the form was first created.
  • Date Edited – shows when the form was last modified.
  • Author – shows which user created the form.

How can I customize visible columns?

In the top-right corner of the table, click the eye icon to open the column visibility panel. From here, you can choose which columns should be shown or hidden in the table. All columns are visible by default.

What actions are available for each form?

When you hover over a form row, additional action icons appear right below the Column visibility (eye icon). These actions let you manage the form without opening the full builder.

  • Edit – opens the form in the builder.
  • Duplicate – creates a copy of the form with the same structure and settings.
  • Preview – opens a front-end preview of the form in a new tab.
  • More actions (three dots) – provides quick access to the form’s Entries, Export, Settings, and Delete options.

What bulk actions can I apply from the forms list?

Selecting one or more forms with the checkboxes on the left of the table reveals bulk actions that apply to every selected form at once. Use the master checkbox in the table header to select all forms on the page.

  • Delete – shown in red next to the master checkbox, it removes all selected forms after a confirmation; as with deleting a single form, this also removes their entries and cannot be undone.
  • Add star – in the three-dots menu, marks every selected form as a favorite.
  • Remove star – in the three-dots menu, clears the star from every selected form.
  • Export – in the three-dots menu, opens the export dialog so you can download the selected forms as a file; see the next section.

How do I export and import forms?

Exporting packages a form into a file you can import on another site, which is useful for moving a form from staging to live or reusing it across projects. You can export a single form from its three-dots Actions menu, or export several at once by selecting them and choosing Export from the bulk three-dots menu. Either way, the export dialog opens.

The dialog lets you choose what goes into the file:

  • Form – the form itself, with its fields, settings, confirmations, and notifications; selected by default.
  • Entries – the submissions stored for the form; off by default, so tick it when you want the form’s entries to travel with it.
  • Styles – the form’s styling; selected by default.

Click Export to download the file. To bring a form in from a file, open WordPress Dashboard → IvyForms → All Forms and click the Import forms button, the icon beside + Form in the top-right, then choose your export file; the form arrives with whatever entries and styles were included.

How does deleting a form work?

When you choose Delete from the form’s action menu, IvyForms shows a confirmation dialog. Deleting a form permanently removes the form and all associated entries.

This action cannot be undone, so make sure you no longer need the form or its submissions before confirming.

How can I search, filter, and sort forms?

The toolbar above the forms list lets you quickly find specific forms:

  • Search – searches forms by name only.
  • Date filter – shows forms created on a specific date or within a selected date range.
  • Filter – lets you filter forms by PublishedUnpublishedStarred, or Unstarred status. A Reset option clears all applied filters.

Sorting, filtering, and pagination states are saved in the URL. This means that when you interact with forms (for example, edit a form, view its entries, or open its settings) and then return using your browser’s Back button, the table will remain exactly as you left it, with the same filters, sorting, and page selected.

How can I view entries for a specific form?

Clicking the number in the Entries column, or the three-dots menu → Entries opens a dedicated page showing all submissions for that form.

How can I work with form entries?

The entries list shows all submissions for a selected form, allowing you to review and manage user responses directly from the dashboard.

Each entry represents a single submission and can be viewed, filtered, or opened for more detailed inspection.

While working with entries, you can:

  • view submitted data in a table format
  • open individual entries for full details
  • apply filters and navigate through results
