How can I view, manage, and delete forms

IvyForms includes a centralized overview where you can view all created forms, manage their status, access entries, and remove forms you no longer need. This page gives you full control over your forms without opening the builder.

 

You can view all created forms by going to WordPress Dashboard → IvyForms → All Forms. This opens a table that lists every form on your site along with key details and quick actions.

What information is shown in the forms list?

Each row in the forms table represents a single form. By default, the following columns are visible:

  • Select checkbox – lets you select one or multiple forms for bulk actions. You can also select all forms using the checkbox in the table header.
  • Starred – marks a form as a favorite so it’s easier to find later.
  • ID – shows the unique form ID and can be used for sorting.
  • Form Name – displays the form name. Clicking it opens the form in the builder.
  • Published – indicates whether the form is visible on the front end. You can toggle this on or off using the slider.
  • Entries – shows the total number of entries submitted for the form. Clicking the number opens the entries list for that form.
  • Shortcode – provides the shortcode used to embed the form on your site.
  • Date Created – shows when the form was first created.
  • Date Edited – shows when the form was last modified.
  • Author – shows which user created the form.

How can I customize visible columns?

In the top-right corner of the table, click the eye icon to open the column visibility panel. From here, you can choose which columns should be shown or hidden in the table. All columns are visible by default.

What actions are available for each form?

When you hover over a form row, additional action icons appear right below the Column visibility (eye icon). These actions let you manage the form without opening the full builder.

  • Edit – opens the form in the builder.
  • Duplicate – creates a copy of the form with the same structure and settings.
  • Preview – opens a front-end preview of the form in a new tab.
  • More actions (three dots) – provides quick access to the form’s Entries, Settings, and Delete options.

How does deleting a form work?

When you choose Delete from the form’s action menu, IvyForms shows a confirmation dialog. Deleting a form permanently removes the form and all associated entries.

 

This action cannot be undone, so make sure you no longer need the form or its submissions before confirming.

How can I search, filter, and sort forms?

The toolbar above the forms list lets you quickly find specific forms:

  • Search – searches forms by name only.
  • Date filter – shows forms created on a specific date or within a selected date range.
  • Filter – lets you filter forms by Published, Unpublished, Starred, or Unstarred status. A Reset option clears all applied filters.

How can I view entries for a specific form?

Clicking the number in the Entries column opens a dedicated page showing all submissions for that form.

How does the entries list work?

The entries table shows submitted data for the selected form. Default columns are displayed automatically, but you can customize which columns appear.

  • Column visibility – click the eye icon to show or hide columns, including form fields.
  • ID – clicking an entry ID opens a compact view with full submission details.
  • More actions – the three-dot menu lets you mark an entry as unread, preview it, or delete it.
  • Filters and totals – filtering, pagination, and total counts work the same way as on the forms list.

Using the forms list and entries views together, you can quickly monitor submissions, review individual entries, and keep your forms organized without returning to the builder. This makes it easy to manage both forms and their data from a single place.
